No, not until such time as you are taken on as a Babcock employee (usually at around 14 months).
How do I request annual leave?
You will need to obtain written approval from your Babcock manager for the period requested. Once obtained, please forward this to ecacademysupport@experis.co.uk for processing.
Please leave periods of annual leave blank in your Fieldglass timesheet.
How are Christmas shutdowns managed?
The majority of Babcock sites will shut down from the last working day before Christmas Day (incl. Christmas Eve) to the first working day of January. You will receive communication to confirm dates for your site from Experis as soon as they are advised by Babcock.
It is recommended that you retain 3-5 days annual leave to cover this period. You may be able to make local arrangements to work during this period, but this is not guaranteed.
The usual process of confirming annual leave (as above) applies.
Can I undertake any additional training via Experis?
Experis offers various in-house and online training programmes, which includes access to online training called PowerYou. Please request login details via the ecacademysupport@experis.co.uk mailbox to access training throughout your career at Experis. Please take some time to view the various training modules available.
How do I submit my expenses?
You will need to submit expenses via your Concur portal (Sign in to Concur | Concur Solutions) in order to receive re-numeration and you will receive access to this portal from day one of your engagement with Experis. You will be sent a user guide with your registration email and there are user guides contained within the portal to assist you with submitting expenses.
Expenses incurred during training periods are non-billable and only need to be submitted via Concur.
Expenses incurred during the course Babcock business are billable and therefor need to be submitted as expense claims via Fieldglass for Babcock's approval and then via Concur for Experis to process payment.
When are expenses paid?
Expenses are paid weekly on a Friday. In order to be eligible for the payment, expenses are required to be entered onto the Concur system by close of business on the Monday of that week for the EC staffing managers approval. All expenses must be accompanied by any relevant receipts in order to be approved.
What expenses can I claim?
Reclaimable expenses vary in the training and operational phases of your deployment with Experis. General principles of the travel policy are as follows:
The travel policy comes into force if you are:
Attending meetings/training courses that are not at your usual place of employment.
Attending an event that is part of your employment
Working at another venue(e.g., on secondment or covering another site).
If you are personally incurring operational expenses on behalf of your cost code.
It is applicable for you to be provided with accommodation if:
You are at a location for consecutive days and travel to and from that location would cost more than accommodation costs there.
You're at a location for consecutive days and travel, taking the form of transport stipulated beneath, takes longer than 1.5 hours each way each day.
Your work, or the event you are attending, finishes after 20:00.
If you are staying away from home, you can claim for food / beverages as follows:
Where it is not provided
First day – evening meal- up to £25pn (and breakfast if you left your home before 07:00)
Second day – (and consecutive days) breakfast and evening meal- up to £25pn
Final day – breakfast (and evening meal if arriving home after 20:00).
We consider:
One hour 30 minutes to be the outer limit of a reasonable journey time (one way)
That overnight accommodation should be requested if a working day with travelling would exceed 11 hours
That working at a location other than your normal place of work for several days might override the above.
To obtain a full copy of the travel policy or if you are unsure regarding eligible expenses, please contact ecacademysupport@experis.co.uk before incurring any costs.
How do I record my hours in Fieldglass?
Timesheets need to be completed on a weekly basis and submitted for your Babcock managers approval. Timesheets can be withdrawn and edited at any point.
You will need to record a Friday as a full day, even if the local arrangement is to work a compressed week and finish earlier. This does not impact your annual leave allowance.
If you are in training/ unwell/ on holiday, please record these days as zero.
Example timesheet above (though please note, you will not need or have access to half day/ quarter day options).
Do I need to complete two weekly timesheets?
Yes, this is required once you are engaged on site. You will be required to complete a timesheet for Babcock and will be advised locally by your line manager of how to complete this.
You will also be required to complete a timesheet for Experis via your Fieldglass portal. You will receive an email link to register with Fieldglass and you will need to submit timesheets from your first week on site.
What are my working hours?
Working hours and early finishes can vary between projects. You will meet with your line manager prior to joining your new team and they will be able to advise you of specific working hours.
Who is responsible for working equipment and set up?
You will be provided with a Babcock laptop and login details when you join your team. You will be required to undertake some mandatory online compliance courses prior to obtaining access to the network.
If you require any further equipment, then please discuss with your line manager. Please be sure to obtain appropriate approval prior to incurring any costs.
Who is responsible for health and safety protocol during site visits?
Health and safety is primarily everyone’s responsibility but your line manager will be able to conduct any locally required inductions and provide you with any required PPE.
